Data Collection
Dentio Pro may collect and process the following types of data:
Patient data: first name, last name, address, contact details, personal identification number (optional, e.g. national ID number), diagnoses, therapies, digital images (X-rays).
User data: first name, last name, email address, contact details, roles in the application.
Clinic data: name, address, contact details.
Purpose of Data Usage
Dentio Pro processes medical and administrative patient data for treatment and appointment scheduling purposes.
Dentio Pro may also process user and clinic data for the operation and administration of the application.
Statistical reports may be generated for dental clinic operations.
Sending reminders and notifications to patients (check-ups, birthdays, installment payment reminders and follow-up appointments) via SMS and email, in accordance with the clinic's settings and the patient's decision. The patient may at any time opt out of receiving notifications or choose the communication channel (SMS or email) via the unsubscribe link included in every message.
Google Calendar Integration
Dentio Pro provides an optional Google Calendar integration that allows users to synchronize calendar events between their Google Calendar and Dentio Pro for appointment scheduling and calendar management.
When a user connects their Google Calendar account, Dentio Pro may access:
the list of Google Calendars available to the user's account, in order to identify the calendar used for synchronization; and
calendar event data necessary to synchronize appointments between Google Calendar and Dentio Pro.
Dentio Pro only synchronizes relevant calendar events from the time the Google Calendar integration is connected onward. Events from periods before the connection was established are not imported as part of the initial synchronization.
Google Calendar data is used solely to provide the Google Calendar integration and appointment scheduling functionality. Dentio Pro synchronizes appointment information between Google Calendar and Dentio Pro in both directions.
After synchronization, relevant Google Calendar event information is stored in Dentio Pro's database as part of the user's appointment records. This allows the application to provide appointment scheduling and calendar management functionality within Dentio Pro.
If a Google Calendar event cannot be matched to an existing patient, Dentio Pro may, depending on the clinic's settings, create a new patient record based on information from the event (e.g. patient name, phone number, email address).
Sharing and Disclosure of Google User Data
Dentio Pro does not sell Google user data.
Dentio Pro does not use Google Calendar data for advertising, targeted advertising, or any purpose unrelated to providing the Google Calendar integration and appointment scheduling functionality.
Dentio Pro does not disclose or transfer Google Calendar data to third parties for their own independent use.
Google Calendar data may be processed by service providers that provide hosting, database, storage, security, or other infrastructure services necessary to operate Dentio Pro. Such service providers process data only on behalf of Dentio Pro and according to Dentio Pro's instructions and are not permitted to use Google user data for their own independent purposes.
Data Security
Each clinic has its own database, separated from other clinics.
All personal and sensitive data subject to protection are encrypted and stored on secure servers.
Access to data is only possible through the application with authentication.
Google Calendar access is provided through Google's OAuth authorization mechanism. Dentio Pro only accesses Google Calendar data after the user explicitly authorizes the integration.
Retention and Disconnection of Google Calendar
When a user disconnects the Google Calendar integration, Dentio Pro stops accessing and synchronizing data from the connected Google Calendar.
Calendar and appointment information that has already been synchronized and stored in Dentio Pro remains in the Dentio Pro account as part of the appointment records. Disconnecting the Google Calendar integration does not automatically delete previously synchronized appointment records.
Previously synchronized data remains subject to the applicable data retention and deletion provisions of this Privacy Policy.
Online Appointment Booking
Dentio Pro provides an optional online appointment booking feature that allows a clinic to share a public link with patients for requesting appointments.
Through the public form, a patient may submit: first name, last name, mobile phone number and email address, along with the choice of service, doctor and appointment time. The email address is verified with a one-time code sent to it.
The data is used solely for processing the appointment request and notifying the patient about the status of the request (submitted, approved, rejected, expired) via email. An approved appointment is entered into the appointment schedule and becomes part of the patient's record.
Personal data from resolved requests (approved, rejected, expired) is deleted no later than 90 days after resolution; only non-identifying data remains for statistical purposes. Online booking data is not used for advertising and is not sold to third parties.
Rights of Users and Patients
Patients have the right to request, from the clinic administrator or user, a review or deletion of data in accordance with the Law on Personal Data Protection. Where the law requires retention of medical records for a specified period, data identifying the patient will be removed (anonymization) and the clinical content will be retained as required by law until the retention period expires, after which it will be deleted in full.

Cookies and Tracking
The application uses cookies minimally, only for application functionality. No tracking technology is used.
Changes to the Privacy Policy
Users will be notified of any changes via email or in-app notification.
